The Firm’s Northern Virginia office is seeking a Legal Secretary to support our Intellectual Property practice. Responsibilities of the position include preparing patent prosecution documents (i.e. new patent applications, continuation applications, amendments, information disclosure statements, etc.), typing correspondence, legal documents and reports, proofreading documents for spelling, content, punctuation, and grammar, with great attention to detail. The legal secretary will ensure accurate indexing and filing of original patent prosecution documents, draft standard correspondence, memoranda and other documents and organize for client meetings and events. The legal secretary will establish and maintain calendar and deadline reminder systems for assigned attorneys and patent agents/law clerks utilizing the master calendar system, schedule meetings and conferences, including telephone conference calls with multiple outside parties in multiple time zones; and open new files, prepare files to be closed and maintain all client and general files. Other responsibilities include reviewing, editing and processing bills, proofing billing sheets, entering daily time for attorneys, performing overload typing, filing, photocopying as time permits and as requested by other attorneys or managers and various other tasks as requested/needed.
Candidate should have 5+ years of legal secretarial experience in patent litigation and a thorough knowledge and understanding of U.S. Patent and Trademark Office (USPTO) rules and regulations and the filing procedures for all aspects of U.S. patent prosecution and international prosecution. Excellent organizational, technical, and dictating equipment skills are required. Candidate should have an accurate typing speed of at least 70 wpm and be proficient with Microsoft Office Suite, Outlook, CPi, CMS, and FileSite. Candidate should have the ability to work well under pressure while handling varied secretarial and administrative tasks within a busy legal environment, as well as the willingness and flexibility to work closely with all departments in assisting with the workflow of the firm. Candidate should also have the ability to work well in a team environment, as well as independently. Excellent communication skills both written and verbal are a must. Punctuality, accuracy, attention to detail and excellent proofreading skills are essential. Candidates should have the flexibility to work overtime as needed.
