Pillsbury Winthrop Shaw Pittman LLP is seeking a Director of Administration in our Silicon Valley office. The Director of Administration has overall responsibility for the day-to-day management of the Firm's Silicon Valley office, including business planning, budgeting, basic financial management, human resources, new attorney (junior or lateral) integration, staff management, and practice support. This is a fast-paced office providing legal services to leading technology companies and is located in the heart of Silicon Valley – Palo Alto. This position reports to and works closely with the Silicon Valley Office Managing Partner, the Firmwide Managing Partner and the Chief Human Resources Officer. This person will work with the Office Managing Partner to manage the day-to-day affairs of the office and work with the National and Local Practice Section Leaders to manage profit components (rates, realization, utilization, cash cycle). Responsibilities include supervising and developing local support staff, including setting annual office goals and objectives for direct reports and monitoring performance goals, ensuring compliance with HR policies and providing regular management reports and analysis as required. The Director will assist in the development, coordination and implementation of office and practice section business plans, including the development of practices to maximize productivity, profitability and utilization. The Director will develop and monitor annual operating and capital budgets, including managing the annual office budget for expenses and headcount; serve as the lead management role in the development, communication and administration of policies and programs; and proactively monitor accounts for variances and implement strategies to meet or improve budget while ensuring effective service to clients, lawyers and staff while helping to innovate the office to keep it on the cutting edge.
This person will be a professional administrative leader of an approximately 100-person office in Silicon Valley. In addition, this person will be a mentor, coaching and developing all office personnel by promoting professional development opportunities and developing programs to identify and increase skill sets. The Director of Administration will create a high level of job satisfaction and morale among direct reports and personnel in office by fostering an environment of collegiality and growth potential. The Director will initiate and manage local social and community programs in alignment with Firm values and strategies and effectively communicate all programs to local office personnel, and collaborate with local, regional and Firmwide management to implement initiatives and programs. Working closely with Finance, Marketing, Information Technology, Human Resources, and Information Services, the Director will ensure a high level of consistency in work quality, improve processes, reduce risk, improve financial performance of the office, and ensure the Firm’s high-client service standards for internal and external clients alike are achieved. The Director will initiate regular meetings among the local management team to foster cross-functional communication, ensure awareness of projects and initiatives, and effectively communicate all programs to local office personnel, and collaborate with local, regional and Firmwide management to implement initiatives and programs.
The candidate must have a minimum of 10 years’ experience in a comparable role with a national professional services firm, preferably a law firm. Demonstrated experience in managing in a fast paced, collegial and collaborative work environment. Strong human resource skills and a working knowledge of California/federal wage and hour laws. The successful candidate should have excellent written and oral communication skills, strong technology skills, including Excel, Word and PowerPoint. Candidate must be dedicated to accuracy and attention to detail, demonstrate leadership skills and innovation. The candidate should have experience managing build-outs, renovations and office moves. A Bachelor's Degree in business or a related field is required.
