The Northern Virginia office is seeking a full-time Client Services Assistant (CSA). The CSA position is responsible for creating a professional and welcoming atmosphere for clients, guests, attorneys and staff in all of their interactions with the reception desk.  This position will work directly with the Director of Administration to provide support for a myriad of reception tasks, facilities/catering tasks, as well as administrative support for the HR/Recruiting Coordinator. Tasks include answering phones, greeting clients, scheduling conference rooms, handling catering and audiovisual requests, and processing faxes.  Primary responsibilities are answering incoming phones and directing callers to proper individuals; greeting incoming visitors, answering basic questions concerning the firm, and maintaining the receptionist area in a neat, orderly, professional manner.  This position will also coordinate conference room use, submit catering requests, forward A/V requests to IT department, monitor the office VA-FAC-HELP e-mail inbox and coordinate all office maintenance requests as well as other types of support.  Other responsibilities include ordering office supplies, arranging for services with other vendors, assisting in the management of facilities-related invoices by checking them for accuracy and coding then with proper office payment coding, managing visitor parking validation and data watch card passes.  In addition to greeting incoming visitors, The Client Service Assistant will also coordinate new attorney/staff office assignments by ensuring office space is ready for assignment, creating nameplates, etc.; provide office tours to new attorneys and staff; assist in housekeeping duties when required; and coordinate authorized limo/taxi cab use and managing taxi cab vouchers.

The successful candidate should have excellent phone etiquette, verbal communication skills, be able to work with minimum supervision, be customer-service driven and punctual.  Candidate should have a High School diploma or GED, knowledge of Microsoft Office Suite, some knowledge of Lotus Notes and 1 year of customer service experience in a professional services or law firm environment.  The candidate should also be able to multitask, pay attention to detail and have a professional appearance (business casual).
